The HR Assistant carries out general clerical and administrative duties to support HR Manager, Bureau in their daily work. As a part of the HR Client Services team, the HR Assistant helps to deliver human resource services to employees and client departments throughout the company. 

Responsibilities:

  • Maintains accurate and up-to-date human resource files, records, and documentation. 

  • Assists in the preparation of departmental support request’ ‘financial requisitions’ as instructed, if required. 

  • Assists with new hire orientation and execution of benefits enrollment 

  • Provides payroll information by collecting time and attendance records. 

  • Assists in preparing and posting job advertisements online 

  • Works with Teamio (applicant tracking system) – sets up new vacancies inc. giving access to hiring managers, helps with resume screening; follows up with hiring managers to establish a list of candidates to be phone screened 

  • Conducts initial phone screens to evaluate candidates against set criteria 

  • Schedules candidate testing, if applicable, and interviews, updating the calendar accordingly, dealing with calls, and monitoring emails. Resolving issues such as interview rescheduling or cancellations swiftly. Follows up with candidates during the recruitment process while keeping hiring manager and responsible HR colleagues updated on progress 

  • Performs other admin related duties as assigned to support other areas of HR. 

Minimum Qualifications:

Education: 

  • Undergraduate degree in Human Resources or related field or an equivalent combination of education, training and work experience 

Work Experience: 

  • Minimum one year of administrative experience, preferably in Human Resources 

Competencies: 

  • Familiarity with standard hiring practices, such as scheduling interviews and onboarding processes. 

  • Strong organizational and time management skills 

  • Outstanding verbal and written communication skills. 

  • Dependable and reliable with ability to handle confidential data. 

  • Ability to work independently as well as part of a team. 

  • Proficiency in Microsoft Office products (MS Word, Excel). 

  • Knowledge of HRIS (PeopleSoft or similar) an advantage. 

Languages: 

  • Lavian language (Proficient), mandatory 

  • English language (Proficient), mandatory 

  • Russian  language (Working Knowledge Oral + Written), desirable
